Auto Pay

The Auto Pay link allows cardholders to have their credit card payments automatically deducted from a checking or savings account. The cardholder's checking or savings account will be debited on the cycle date for the amount specified.

Note: You must disclose Regulation E to your cardholders using the auto pay option. Disclosure of Regulation E is mandatory whenever funds are electronically deducted from a checking or savings account. It is a state and federal law that disclosure be done on an annual basis or on a periodic statement.

 

Under the Payments menu, click on the Auto Pay link to view the Auto Pay settings screen.

 

 

Note: Uncheck the configure auto pay box to turn this option off. Click Update to submit.

 

Field Descriptions:

Confirmation Email Address: This field allows for the cardholder’s email address to be entered so they can receive email notification of their auto pay setup, edit, or enrollment. Check mark the box to the right if the cardholder declines receiving a confirmation email.

Authorization Type: 

In Branch = The automatic payment was authorized in branch at the financial institution 

Telephone = The automatic payment was authorized over the telephone

Account Type: The type of account to debit (checking or savings).

Routing Number: The 9 digit identification number assigned by the Federal Reserve Bank.

Checking / Savings Account: The cardholder’s account number to debit.

Note: Various fields will change depending upon which account type you choose

 

Auto Pay Flag: Specifies the payment option. Options visible can be customized on the Administration tab: First Data / Administration / Configurable Codes.

Checking:

J - Customer Designated Amount: This will allow cardholders to specify how much they want to pay each month. If this amount is less than the unpaid minimum amount due then the system will withdraw the minimum payment amount from their account. If the amount specified is greater than the last statement balance, then the system will withdraw a payment in the amount of the last statement balance.

 

 

V - Customer-designated amount less any cycle to date payments.
 

Amount: If there is a designated amount, complete this field (Example: $100.00 = 100 or 100.00).

Note: If there are cents, a decimal point is required.

 

1 - Unpaid Billed Minimum Payment Due: The system will withdraw a payment for the minimum due amount. If another payment or credit posts to the account during that month, those payments will be credited towards the minimum amount due resulting in a lesser amount of the automatic payment or no automatic payment in the case that the aforementioned credits cover the minimum amount due.
 

2 - Full Statement Balance or Unpaid Billed Minimum Payment Due: The system withdraws a payment for the last statement balance amount, unless a credit or payment has already posted for that month. In that case a payment is withdrawn in the amount of any remaining minimum payment due.
 

4 - Full Statemented Balance: The system withdraws a payment in the amount of the last statement balance. This amount will be less if any payments/credits post to the account during the period by the amount of those credits.

 

Savings:

K - Customer Designated Amount: This will allow cardholders to specify how much they want to pay each month. If this amount is less than the unpaid minimum amount due then the system will withdraw the minimum payment amount from their account. If the amount specified is greater than the last statement balance, then the system will withdraw a payment in the amount of the last statement balance.

 

 

W- Customer-designated amount less any cycle to date payments.

5 - Unpaid Billed Minimum Payment Due: The system will withdraw a payment for the minimum due amount. 6 - Full Statement Balance or Unpaid Billed Minimum Payment Due: The system withdraws a payment for the last statement balance amount, unless a credit or payment has already posted for that month. In that case a payment is withdrawn in the amount of any remaining minimum payment due.

7 - Full Statemented Balance: The system withdraws a payment in the amount of the last statement balance. This amount will be less if any payments/credits post to the account during the period by the amount of those credits.

 

Start Date: The date that the auto pay will begin.

Note: Dates are only required when setting the cardholder’s auto pay eligibility to begin on a future date. If auto pay is turned on mid-cycle, depending on PCF settings, the system will refer to the cycle date or the payment due date to determine if auto pay needs to go into effect. For example: if a cardholder sets up auto pay on the 7th but has not made a payment due on the 5th, then the system will automatically process the late payment.

 

End Date: The date that the auto pay will end.

Note: Enter 999999 to indicate ongoing auto pay.

 

Note: When the cardholder views the payment in their checking or savings account, the payment will be displayed as “BANKCARD PAYMENT”.

 

Complete all required fields and read the Process disclosure to the cardholder and check mark the cardholder authorized box. Once complete, click "Update."
 


 

Click View Printer Friendly Version to print a copy for a cardholder in branch.


Note: If cardholder opted to receive an email notification, displayed below is an example of what they could receive.

 


 

Once an automatic payment option has been entered into the system, the system calculates the payment from the amount billed on the previous month’s statement. For example, cardholders who begin using automatic payments in June automatically pay the amount that was due on their May statement. The amount is dependent on the option picked for each individual cardholder.

Depending on the financial institution’s settings, placing an auto pay flag after the due date but before the cycle date may cause the first payment to pull differently than expected. It is recommended that the current payment due is paid as normal.

Note: Auto Pay will not show as a pending payment. The cardholder will have a message on the remit portion of their monthly statement that will direct them to the Fees and Interest section for the payment information.

 

Note: An updated auto-payment will not be pulled until the next statement cycle.

 

Settlement

The automatic payment also will show on your CD-121 report in the payment section as Auto Payment. You will see this entry regardless of what financial institution the payment was deducted from. You will receive your CD-121 report before the ACH (Automated Clearing House) report.

If you currently are receiving ACH transactions, you should have an ACH suspense account set up in your general ledger. This account should be used to book the automatic payments.

 

Reporting

The SD-077 report will show the accounts that have had automatic payments made to the credit card accounts. You will receive an ACH activity report from Card Services if the payment is deducted from your financial institution. Should the payment be deducted from a financial institution other than yours, you will receive a report from the financial institution where the funds are deducted. This report is generated by the Federal Reserve.
